Manually creating references in EndNote

Although most references will be exported into your EndNote library electronically some may need to be entered in manually:

To manually add a reference

  1. Click on  References New Reference
  2. A New Reference window will open 
  3. Select the Reference Type. The default is Journal Article, select the appropriate format option for your reference from the drop down (e.g. newspaper, conference paper, book)
  4. Input the reference details into the appropriate fields (not all fields need to be completed; only those which are relevant to your reference style)
  5. You will automatically be prompted to save a manually entered reference when closing the window
  6. Alternately, Select File > Save to save the reference

Do not include special bibliographic formatting or punctuation except for commas or colons within a field. EndNote can adjust capitalization in titles of books and articles, but generally you should type your data as you want it produced in your bibliography.

  • When entering data in manually REMAIN CONSISTENT; remember the end result is reliant on the information you enter
  • Check your reference style guide for the use of capitals when entering journal names and article titles

The Author field can be populated in different ways:

  • Enter surname or family name first followed by a comma and then the first name(s) or initial(s) e.g. Jones, R P or Jones, Richard Paul 
  • Each author name must appear on a separate line 
  • For corporate authors place a comma at the end of the name e.g., Fiona Stanley Hospital, - without this comma, EndNote will assume the last word is a family name; and may invert the order according to your style.
  • If the corporate author’s name has a comma, create a double comma where the single comma would normally appear, and do not add a comma at the end of the name, e.g., Department of Health,, Western Australia
  • Use correct capitalisation when entering author information

To preview how the reference will look in a document you first need to select the referencing style you wish to use.     

  1. From the top menu bar select Tools > Output Styles then click on the required style (e.g. APA7th) 

If the required style is not listed:

  1. Select Open Style Manager
  2. Tick the style you want to add and close the style manager

To preview a reference in the selected style:

  1. Click on a reference to highlight it then click on Summary in the top right corner
  2. If the citation isn’t showing, click the arrow next to Copy
