EndNote: Information and User Guide

EndNote Web

EndNote offers both a desktop and an online component. 

EndNote Web is the latest online platform for EndNote, released with EndNote 21.

EndNote Online (Classic) is also still available.

A few of the key features of EndNote Web include:

  • Anytime/anywhere access to your EndNote online library 
  • Importing and Exporting references 
  • Organising references in your library
  • Syncing with your desktop library
  • Sharing your library with other EndNote users
  • Inserting references into a Word document using Cite While You Write

Note: If you have a Web of Science (WoS) account, you can use your WoS login credentials to log into EndNote online as they are both Clarivate products.

If have a Web of Science account, you will be able to log in using those credentials

Note

Your credentials for EndNote Online and Web of Science (WoS) must be exactly the same. If you have established separate accounts you may experience issues in functionality indicated by the following error message: “Invalid email/password. Please try again”

To resolve this you will need to log into one or both of your accounts and update the password.

To sync your desktop library with your online library:

  1. Create a compressed (backup) library
  2. Set up an EndNote Web account. Do not add any references to this account. It must be empty when you sync for the first time to avoid duplication of references and groups.
  3. Go to your desktop application and choose Edit > Preferences > Sync
  4. Enter your EndNote Web account Credentials
  5. Click on Apply

Automatic syncing is the default setting, meaning you desktop library will sync with EndNote Web every 15 minutes. Choose Sync Status to check sync details or to manually Sync Now.

If you change your EndNote Web password, you will need to update your EndNote sync preferences:

  1. Edit > Preferences > Sync
  2. Update password 

Occasionally EndNote Desktop and EndNote Online will not sync correctly or, you may wish to sync a different library from the one you are currently syncing.

Before attempting the procedure below ensure that your EndNote Desktop library is backed up in a compressed library.

  1. Open EndNote, click on Edit > Preferences >Sync. Disable all automatic syncing and then restart EndNote.
  2. Make sure the Trash is empty both in EndNote online and EndNote desktop.
    1. For EndNote online, log into your EndNote online account delete all references and all groups from EndNote online, with the exception of any Shared Groups or ResearcherID Groups. To do so, login to EndNote online and check the All box under All My References group and click on Delete.
    2. You will need to delete the groups as well, because when EndNote online syncs with EndNote desktop, the groups will sync with the desktop. To delete the groups, go to the Organise tab and click on Manage My Groups. Select the groups and Delete.
  3. In EndNote desktop, open the correct copy (backup copy) of the library. Open EndNote, Edit > Preferences > Sync. Add this to the end of your E-Mail Address in the sync preferences: 

#!resetLocalSync

Note! This is case sensitive -- resetLocalSync not “resetlocalsync". 

  1. Click OK to close the preferences, and then click on Sync.
  2. EndNote will then appear to authenticate and return the prompt: “A Sync library can be linked to only one account. Do not proceed unless you intend to break the link to the original account.” This happens because EndNote is checking authentication. Click OK, and EndNote will purge any knowledge of a previous sync.
  3. EndNote will then display the message, “Your local sync state has been reset. Please re-enter your E-Mail Address, restart EndNote, and sync again.” Click OK.
  4. Close EndNote and open it again. Close all libraries then open the library which you'd like to sync with EndNote online.
  5. Again go to Edit > Preferences > Sync enter your username/password and setup automatic sync settings. 
  6. When you next click Sync, you will once again get the message “A Sync library can be linked to only one account. Do not proceed unless you intend to break the link to the original account.” Click OK.
  7. You will be prompted to make a backup. While this step is not required, it never hurts, follow the onscreen prompts to backup.
  8. A complete sync will then begin.
