Organising references in your EndNote library

Use the EndNote Group functions to organise your references rather than create multiple libraries. Think of your library like your Spotify or Netflix account. You only have the one account, and you organise your music playlists or favourite movies into categories within them.

  • Use Groups to organise your references
  • Use Group Sets to organise your groups
  • Use Smart Groups to import references into specified groups automatically

Groups and Tags

To create a group:

  1. From the top menu bar, select Groups > Create Group
  2. Name your group

To add references to a group, you can either: 

  1. Drag and drop references into the group

or

  1. Select the required reference(s) then go to Groups > Add References To > your group name
  2. A reference can be assigned to one or several groups
  3. Grouped references will still appear under "All References".

To remove references from a group:

  1. Click on the group in the Groups Panel
  2. In the reference list select the reference(s) you want to remove
    1. Hold down the Shift key and click on two references to select a range of references
    2. Hold down the Ctrl key and click on individual references to select them
  3. Prese the Delete key on your keyboard or drag and drop the references into the Trash

To delete a group:

  1. Select the group that you want to delete
  2. From the Groups menu select Delete Group or right-click on the group and select Delete Group

Note: If you delete a Group the references are not deleted, only the Group.

The creation of a Smart Group is based on a search strategy and will allow new or existing references with predetermined characteristics (such as the same author, year or key word) to automatically appear in that particular smart group. This can make both filing and finding certain references very quick and easy, as any reference meeting the criteria will immediately appear in the appropriate smart group.

To create a smart group:

  1. Display the set of references that you would like to search (All References is recommended).
  2. From the Groups menu, select Create Smart Group
  3. Enter a name for the smart group
  4. Enter the search criteria
  5. Click Create

To edit a smart group:

  1. Select the smart group in the Groups panel
  2. From the Groups menu, select Edit Group
  3. Enter a name for the smart group
  4. The current search strategy will display
  5. Modify the search criteria
  6. Click Save - The smart group content will be updated based on the updated search strategy

To create a Group Set:

  1. From the menu bar, select Groups > Create Group Set
  2. Name your group set

To add a group or smart group to a Group Set:

  1. Drag existing group or smart group into the group set
  2. From within the group set, add new group or smart group

To delete a group set:

  1. Select the group set that you want to delete
  2. From the Groups menu select Delete Group Set or right-click on the group set and select Delete Group Set

Note: If you delete a group set, all of the groups within that set will also be deleted. The references will not be deleted, they will remain in your library under All References

 

Tags are customisable labels that help you organize your references.

You can add tags to references and customise the colour and name of the tags.

You can add multiple tags to a reference.
To create a tag:

  1. Go to Tags > Create Tag
  2. Assign a name to the tag and select a colour for the tag
  3. Click on Create Tag

To assign a tag to a reference:

  1. Select the reference
  2. Click on the Edit tab
  3. Click on Manage Tags
  4. Click on the tag that you wish to assign (note that you can repeat this to assign multiple tags)
  5. Click on OK

To remove a tag from a reference:

  1. Select on the reference
  2. Click on the Edit tab
  3. Click on the tag that you wish to remove
  4. Click on Save to save the changes
